How you'll make an impact

Branch Office Management (All Divisions):

  • Reception Support: Acting as the first point of contact for visitors and callers, ensuring a professional and welcoming environment.
  • Handling internal communications and notifications to keep the branch informed of important updates and changes.
  • Coordinating GBS communications for birthdays and work anniversaries.
  • Maintaining office supplies for shared branch items, break room, Ricoh, printing, shipping, marketing collateral, and special requests, while also supporting other Marolina offices by ensuring they have the necessary resources and supplies to operate efficiently. This includes coordinating with vendors, managing inventory levels, and facilitating the distribution of materials to meet the needs of each location.
  • Managing issuance and deactivation of access cards for employees.
  • Coordinating with building maintenance staff to ensure the building is well-maintained and addressing any facility-related issues.
  • First point of contact with all office related vendors, guest and clients.
  • Requesting annual certificate of insurance in compliance with building requirements.
  • Managing the branch business continuity plan and reporting incidents.

 

Branch Event Management:

  • Managing the calendar of annual events, including catering and event planning.
  • Managing marketing collateral for conferences and client giveaways.
  • Providing support for the annual partner event

 

Check Processing and Revenue Capture:

  • Receiving checks and gathering commission statements.
  • Logging, scanning, and sending documents to the lockbox.
  • Capturing monthly check revenue.

 

Client Billings:

  • Requesting invoices and maintaining records in accordance with our standard practices.
  • Conducting peer reviews on master billing files and tracking billing activities.
  • Handling one-off billings for US-only clients and special project billings.
  • Reviewing cycle billings and passthrough billings.
  •  

Client Vendor Invoices:

  • Send invoices to GBS Finance or Center of Excellence 
  • Monthly shared branch services BU reconciliation (office depot, pitney bowes, ricoh)
  • Maintaining records in accordance with our standard practices.

About You

Required: Bachelor's degree and 3 years related experience required.
